Job Description

My client are an M&E Contractor who are based in Essex.

Since their conception in 2016, they now employ over 50 people in the business and turnover over £7million.

They specialise in live environment projects which include Museums, Hospitals, Banks, Football Stadiums across Essex, Central London & Canary Wharf.

Project values generally fall between £200k - £800k.

They are seeking a Project Administrator to join the team on a permanent basis

 
THE JOB – M&E PROJECT ADMINISTRATOR

Monday – Friday / 8-5

The Project Administrator will support the project management team in coordinating and overseeing various aspects of M&E projects.

This role requires strong organizational, communication, and administrative skills to ensure that projects are delivered on time, within budget, and to the required quality standards.

The ideal candidate will be able to manage multiple tasks, maintain accurate project records, and communicate effectively with clients, contractors, and internal teams.

 
Key Responsibilities:
  • Project Coordination: Assist the project management team with the day-to-day administration of M&E projects, ensuring all aspects of the project are properly documented and tracked.
  • Documentation & Reporting: Maintain accurate project records, including contracts, drawings, and specifications. Prepare regular progress reports and assist with project invoicing and billing.
  • Scheduling & Resource Allocation: Help coordinate the scheduling of project tasks, ensuring resources (labour, equipment, materials) are allocated appropriately and work is carried out according to project timelines.
  • Communication: Act as a key point of contact for both internal teams and external stakeholders (clients, suppliers, subcontractors). Ensure smooth communication and effective handling of queries, requests, and updates.
  • Procurement Support: Assist in the procurement of materials, equipment, and subcontractors. Ensure materials are ordered on time, and deliveries are tracked and logged.
  • Health & Safety Compliance: Support the project manager in ensuring that health and safety regulations are followed on-site. Maintain health and safety documentation as required.
  • Budget Monitoring: Assist with budget tracking and cost control for projects, ensuring that expenditures align with the approved project budgets and identifying any potential issues.
  • Contract Administration: Assist in the preparation and review of contracts, ensuring compliance with terms and conditions. Support the project manager in resolving any contract-related issues.
  • Project Close-out: Support in project close-out activities, ensuring all documentation is completed, handover is performed efficiently, and final accounts are settled.
