Job Description
• Managing current and outstanding Installations & Small Works workload using a WIP and project tools.
• To ensure that the WIP is up to date with the status of each project.
• On receipt of paperwork, ensure all documentations passed from Sales Department are correct and practically feasible in coordination with the project Manager.
• To arrange and allocate appropriate resources (pre-installation survey, materials and labour).
• Organise and arrange the required resources and proactively plan works to be done as per sales order raised.
• Check in stock room for materials required for WIP.
• Pack relevant equipment & materials required for each project into separate boxes and label with correct Job reference
• Allocate works to appropriate engineer/subcontractors and book into diaries/planner board.
• Raise Dockets or Purchase Orders to engineers and sub-contractors as necessary.
• Issue necessary equipment and materials to project engineers / sub-contractor for project works.
• Correspond with customers in a courteous and polite manner to make appointments for engineer’s access or other client communication as and when necessary.
• In coordination with the Project Manager, save and administer pre-works documentation as necessary e. g. Risk Assessments and Method Statements to client and installation engineers, Work Permits applications etc.
• Check all works are completed accordingly to sales order raised, and that the engineers report submitted is correct and PM sign off has been completed. Produce Certification and Documentation on completion of works as necessary
• Update client with completion of works and send invoice, reports and certificates to client.
• Amend/Raise sales orders as necessary and process invoices on works carried out.
• Log entries on Company Operating including, create Calls. Close jobs raised, update project details as per modification works carried out and maintaining the accuracy of the data including details following changes to system carried out during the installation works.
• Monitor works carried out by engineers to the job and summarise at month end against booked/budget P&L and actual P&L.
• Ensure purchase invoices from subcontractors are correct at submission and are passed for payment to the accounts department
• Quality - Following ISO 9001 and LPCB procedures
• Service Excellence – Acknowledge customers’ orders; keep customer informed and give appropriate feedback.
This interesting opportunity to comes with a basic salary of up to £38,000 plus package.
